Fuze RE manages more than 700 single-family, multifamily, and HOA doors across Minnesota and Wisconsin, but the number that actually shapes how they work is a different one. Roughly 450 owners sit behind those doors, many of them owning just one or two properties.
That ratio changes what a screening file has to do. At many operators this size, a screening report is primarily an internal document. At Fuze, owners are closely involved in leasing decisions, which means screening results need to be complete, clear, and easy for someone outside the day-to-day operation to understand and make a decision from.
"There's always an individual owner behind every property. We don't have a ton of large institutional owners. It's very important for them to be part of the process as well."
So the process can't just be fast. It has to be fast and finished, every time, for an audience of roughly 450 owners who each care deeply about their individual investments.
The automated parts of screening worked fine. Credit and background checks came back quickly and reliably. It was everything around them that took the time.
Landlord references had to be chased by hand until someone answered, and the screening service Fuze used didn't search Minnesota or Wisconsin state records at all, so a member of the corporate team ran those checks separately on every single application.
Then the file had to be assembled by hand before it could go anywhere: run the automated reports, run the manual checks, combine them, and send the package to the owner.
"It required a human to actually navigate a lot of the process, which slowed down the screening. It was taking about three to four days to process an application."
In a market where applicants may be applying to several homes at once, three or four days can be long enough to lose them, and Fuze saw prospects disappear during that waiting period.
It cost the leasing team directly too, because Fuze's agents work on commission. An application sitting in a queue is income waiting on somebody else's inbox.
"My team wants to lease it. There's commission involved for them. So the last thing they want to do is lose a prospect, lose a lead, and not move quickly. Speed is the game."
Identity verification was thin on top of all that. It meant matching a name against a document and looking at whatever the applicant had uploaded, with no reliable way to confirm the person behind it was who they claimed to be.
"We never did a selfie check. We verified identity more rudimentary."
Fuze had run the same stack for years and had no appetite for a disruptive migration, but they also weren't willing to wait for a quiet month to fix the problem.
They went live on June 30, in the middle of their heaviest leasing season, on the logic that another peak spent on the old process would cost more than switching during one.
The rollout was split in two. Configuration ran through working sessions with the Boom team on the corporate side, where Fuze set their screening criteria, income rules, and property-level templates. For the people who actually process applications every day, it was a single meeting.
"From an actual leasing agent perspective, it was literally one training session, and then we were off to the races. Our team picked it up very quick, and it's very intuitive and user friendly."
BoomScreen also had to sit inside a technology stack Fuze had no intention of replacing. Applicants push into their property management software on decision rather than submission, so documents collected during the review carry across with them while the PMS stays clean.
"It integrated seamlessly with all of our software. It doesn't muddy our property management stuff, because that's when it gets sent over."
The check behind it got deeper rather than thinner.
State records are covered now. Income runs through bank and payroll connections instead of collected documents. Identity verification includes a selfie check, and when a face doesn't match the ID on file, BoomScreen flags it for a human instead of simply passing it through.
"I'd rather be flagged and then say, oh, that's not an issue, versus it just saying yep, looks good, name matches name, let's move."
Fuze would rather look at a flag and dismiss it than never see one. Misrepresentation on applications is common enough that a system which resolves ambiguity in the applicant's favor is a system that eventually approves the wrong person.
The bigger change was structural. The corporate staff member who used to run manual checks on every file is no longer in the middle of the process, and the work moved to the person who was already closest to it. The leasing agent who knows the owner and has been talking to the prospect now carries the file the whole way through, pulls the reports, and sends them over with Fuze's recommended decision attached.
"We were able to eliminate the need for our staff member to do that, which freed them up to do better work for our clients."
For a company answering to roughly 450 individual owners, that reshuffle is the point. The person the owner already trusts is now the person delivering the decision, and there are two or three fewer places for a file to sit waiting.
"It eliminates like two to three handoffs throughout our process."
The leasing team feels it at the other end, where owners are watching.
"Boom has been great for clean and simple applications," says Will Smith, Fuze RE's Leasing Supervisor. "I love that we can get results to our owners quickly."
Prospects stopped vanishing mid-process, too. As Adam puts it:
"We're not experiencing those problems anymore."
Adam is not an easy person to sell to, by his own description, and he had been running the same tools long enough to be skeptical of anything that promised to replace them.
"I'm a tough customer. I have very, very high expectations."
Which is what makes what happened next worth mentioning. In a private group of property managers, someone asked what everyone was using for screening, and Adam answered without anyone from Boom prompting him.
"I said I wouldn't use anything other than Boom, because it has just made our team's job way easier."
His reasoning had less to do with any single feature than with who the advice was coming from.
"All these property management softwares have their own version of what Boom is doing, and people do have options. But it's really hard for people to make a decision when there's a lot of options out there. So hearing somebody who has 700 doors say it works, I would listen to that feedback."
Since going live on BoomScreen in June 2026, Fuze RE has moved screening from a multi-day corporate process to a same-day step owned by the leasing agent closest to the deal.
